Performing well work on editing and digitizing documents in the process of arranging and organizing the apparatus

Mr. Doan Hong Tuoi, Deputy Secretary of Party Committee and Chairman of People's Committee of Tan Uyen City, chaired a meeting to review a report on the editing and digitization of documents related to the organization and arrangement of the apparatus.

At the meeting, the City Office of Internal Affairs reported on the management of archival documents, specifically focusing on the editing and digitization of these documents as part of the process of organizing the apparatus. As a result, specialized agencies have processed a total of 4,454 boxes—936 boxes permanently and 3,461 boxes for a specified term. Public service units have adjusted 214 boxes, with 185 boxes being permanent and 25 boxes for a specified term. Additionally, communes and wards have processed 2,753 boxes, which include 468 permanent boxes and 2,287 boxes for a specified term.

As for unedited documents, specialized agencies still have 1,171.5 meters, public service units have 315.4 meters, and communes and wards have 955 meters of unedited material.

Units need to assess their human resources to determine their capability for document editing and digitization. They may also consider hiring qualified service providers for these tasks. It is essential that the editing and digitization of documents are carried out safely and confidentially, without disturbing the documents of various agencies and organizations. The cost of digitizing documents is governed by Circular No. 04/2014/TT-BNV from the Ministry of Home Affairs, while the cost of editing documents follows Decision No. 17/2021/QD-UBND from the Binh Duong Provincial People's Committee.

Units must complete the editing, digitization, acceptance, and settlement of payments in accordance with the regulations set by the financial authority. They are required to report the outcomes of the editing and digitization processes to the Office of Home Affairs by June 12, 2025, so that the Office can provide advice and report to Department of Home Affairs by June 15, 2025.
